How to Enable Import Functionality?

Importing QuickBooks invoice templates can seem tricky in the beginning. But if you follow these steps closely, it is so simple.

Step 1: After getting into your QuickBooks account, you can see a gear icon at the top right corner of your QuickBooks page.  This icon is perpetually visible at the same place, in all the QuickBooks pages.

Step 2: Tap on the gear icon. A drop-down box flows down the icon.

Step 3: On the left of the drop-down box, under Your Company list, you can find ‘QuickBooks Labs’. Click on to it.

Step 3: QuickBooks Labs page will be exposed on the screen. Toggle the ‘Import Style’ option to ON.

Step 4: Now, hit the ‘Done’ button at the bottom right corner of the page to save your preference.

Preparing Microsoft Word Template

QuickBooks is open to work with almost any customization you prefer in your invoice as long as it is in Microsoft Word Doc format.

Other fields such as company address, contact details and field names like ‘Address’ , ‘Item’ , ‘Price’ have to remain the same in the whole bunch. So such things can be left as the usual in MS Word Doc for them to stick like the same all through.

Microsoft Tables

Microsoft Tables is a great aid to organize your content in your invoice in a visually appealing way. Not just with presentation, Tables also make your way clear through the arrangement of content in an uncluttered format, so that you will not be in a mess in case of corrections or rework.

Avoid complicating the table format by using Split Cells and Merge Cells for better results. They may pull up any unexpected errors eventually.

Fonts

QuickBooks works perfect with the following fonts. You can play around with your aesthetics with these fonts in your invoice. So, try not to employ other fonts to prevent any malfunctioning during the show.

  •        Courier, Courier Bold, Courier Oblique, Courier Bold-Oblique

  •        Helvetica, Helvetica Bold, Helvetica Oblique, Helvetica Bold-Oblique

What Not to Add

Just like the guidelines for a perfect QuickBooks invoice template, there are certain don’ts that you will have to be aware of before sliding in your template for Import. Observe the cautions below to pass your QuickBooks invoice template at the Import toll.

Multimedia

QuickBooks runs butter smooth with numbers and plain texts. ClipArt and WordArt can seem more attractive in Word, but not supportive in QuickBooks invoice templates. Any inclusion of multimedia files such as audio, animated GIFs and embedded files may cause discrepancies somewhere later.

Other Formats

Hidden links, merging fields are also a big no, when it comes to QuickBooks invoice templates. It does not let in files larger than 2MB, old Microsoft Word files and strictly files other than .docx

Importing Your Custom Invoice Template

You have almost crossed the river. It takes only four to five clicks from here to successfully import your invoice template to QuickBooks.

Step 1: Click on to the Gear icon from the top right corner of your screen

Step 2: Choose ‘Custom Form Styles’ from the list. Custom Form Style Page appears.

Step 3: Tap on the ‘New Style’ button on the right. . A mini dropdown box falls down.

Step 4: Select ‘Import Style’ from the dropdown list.

Step 5: Pick ‘Invoice’ as your form type and hit Next.

Step 6: Browse your .docx file, upload it and hit Next.

Step 7: Now comes the crucial part- the mapping!

QuickBooks maps your fields to its fields by default. But if you want to change the mapping or do the whole mapping by yourself, enable manual mapping by checking ‘I want to map my template fields’. You shall map each field choosing from the drop-down list as you see it fit. Hit Next.

Step 8: QuickBooks will show you the preview of your template. Check if everything is perfect and press Save.

Step 9: Name your style and hit Save. Your new template will be successfully saved.
